Absence Management
The Absences feature helps employees easily request time off — including vacations, sick leave, and other absence types — and keep track of their available days. Everything happens directly in the Enji interface, with built-in validation and automated email notifications.
Who can use it
- All employees – to submit absence requests.
- Managers and PMs – to review and approve requests.
- HR – to oversee, process, and track all absences.
Getting started
1. Go to Settings → Absences Settings → Types
2. Set up the default number of days available for each absence type across the company:
- Name – You can rename any default absence type to suit your needs. Default types include:
Vacation, Minor Sick Leave, Major Sick Leave, Non-Paid Day Off, Paid Day Off - Days off per year – Set how many days of this type should be available to each employee in a calendar year. Leave it blank if there's no limit.
- Available after (months) – Specify how many months after the employee's start date this type becomes available. Leave blank if there's no restriction.
- Unused Days Rollover – Enable this if unused days should carry over to the next year.
3. If an individual employee needs a custom number of days for one or more absence types (different from the global settings), you can configure this under:
Settings → Absences Settings → Personal Settings
4. In each employee's profile, you can enable or disable access to specific types (Vacation and Paid Day Off). This overrides all global and personal settings.
If Vacation is disabled, the employee won't be able to submit that request — even if it's enabled elsewhere.
5. Make sure each employee has their Work Start Date set in their profile. Without this, they won't be able to submit any absence requests.
Absence Days Calculation rules
Vacation
- For every full month worked, vacation accrues as:
X = Y / 12, where Y is the value set in.
Settings → Absences Settings → Types → Vacation → Days off per year. - No vacation days accrue for months with fewer than 10 working days
(including Paid Day Off, Major Sick Leave, or Vacation). - For hourly employees (Profile → Payment Type → Hourly), only months with at least 80 logged hours count.
For current and future months, the system assumes 80 hours will be worked. - Vacation must be taken as a minimum of 5 consecutive working days (weekends are excluded).
- The total is rounded down to the nearest whole number.
Paid day off
- Up to 2 consecutive working days per request.
- No more than 2 times per month.
How to submit an Absence Request
1. Go to Home → Absences. At the top of the page, you'll see your available/used days by type and a list of your past/current requests with their statuses.
2. Click New Request and fill out the form:
- Type – Select the type of absence.
- Start / End Dates – Choose the dates.
- Approvers – Add all managers who approved your time off.
- Comment – (Optional) Add a note for context.
3. Click Send. Enji will automatically check:
- Whether the selected dates are available.
- Whether all rules are met (limits, frequency, accruals, etc.).
If something doesn't check out, you'll see an error. If everything's good, the request moves to In Review status.
4. All Approvers listed will receive an email with a direct link to the request.
Requests needing attention appear in HR → Absences → Awaiting your decision. Approvers and users with HR or PM permissions can view and act on the request.
5. If the request is approved, its status changes to Approved, and the employee receives an email confirmation.
- If any approver rejects the request, it's marked Rejected.
- The requester receives an email with the name of the approver and the reason.
- They can follow up and submit a new request if needed.
Proper time-off tracking not only keeps HR processes organized, but also helps ensure that employees take enough rest throughout the year — supporting well-being and preventing burnout.
